The Engagement and Loyalty Representative is responsible for receiving and placing telephone calls, emails and digital communication. Credit Clerk (Norco, CA) - view position

The purpose of this position is to provide clerical and accounting related assistance to the Accounting Credit department. This position is essential to help ensure that incoming Credit Requests are processed and completed in a timely manner.

Essential functions of the position include, but are not limited to:  

  • Properly manage 19 million dollars’ worth of debit requests yearly, including researching requests for validity, accuracy, and then processing in a timely manner.
 
  • On average, the department will process over 300 credits a month via QuickBooks. Credits are received via email USPS and Fed Ex and UPS. You will be responsible for entering received debits into the incoming Debit Request Log via Google Docs and ensuring they are reimbursed to the Customer within the company timeline. The debit request consists of National, District and Vendor Promotions along with rebates, coupons and our Frequent Buyer Program.
 
  • Auditing of debit credits is of the utmost importance. Challenge and dispute invalid claims with the assistance of Sales Reps and Marketing Department. Analyzing and reviewing open chargebacks, with the goal of keeping credit allowance dollar amounts as low as possible and current. Respond to customer disputes in a timely manner, providing them with documentation used as the basis for credit decision.
 
  • You will need to investigate to make sure purchase levels are met and the order/coupon dates meet the promotional guidelines. Also, auditing bill back price to ensure we are being billed back at our cost vs. our customer costs. Analyzing and reviewing open chargebacks that are missing paperwork.
 
  • Use your cross functional Leadership skills to work with other team members, such as Accounts Receivable the Order Department, Operations Manager, District Sales Managers and Customers to validate customer deductions, and chargebacks.
 
  • Process and send National Vendor Promotional Agreements to Vendor Operations and enter Contract agreement information into QuickBooks. Receive invoices and obtain verification/approval from Key Account Manager to issue Credits.
 
  • You will receive shortage/damage claims from the Order Department to process for credit back to our customers. Communicating with the Warehouse regularly, to ensure the proper handling of returns is being done and properly documented. Notifying the Sales Manager, in the event of discrepancies with an invoice.
 
  • Administrative tasks include, weekly, monthly reporting and maintaining the Sales Budget Log.
 
  • Keeping Accounting and Operations Manager apprised of any Credit Department issues.

  • Other Duties:
  • Update the VP of Sales yearly budget report.
  • Provide assistance to other Departments when required.
  • Projects as assigned by management.
