Accounts Payable Clerk (Norco, CA) - view position

The purpose of this position is to provide clerical, administrative, and accounting related assistance to the Accounts Payable Department in a variety of areas. This position is essential to help ensure that incoming invoices are processed and paid in a timely manner, completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.

Essential functions of the position include, but are not limited to:  

  • Running weekly AP reports for discussion during Monday Meetings.
 
  • Print, open and audit invoices and post for payment.
 
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
 
  • Reconcile processed work by verifying entries and comparing system reports to balances.
 
  • Pays vendors by monitoring discount opportunities; update purchase orders, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos.
 
  • Keeping Accounting Manager apprised of A/P issues and escalating the urgency level when necessary.
 
  • Regularly updating QuickBooks databases contacts and other information.
 
  • Using the Outlook calendar to track and stay on top of aging issues and a reminder to follow-up on them.
 
  • Auditing payment requests from Vendors and employee expense reports as needed.

Other Duties:

Providing assistance to other Departments when required.
Projects as assigned by management.

Minimum Qualifications:

The following are the minimum qualifications, which an individual needs in order to successfully perform the duties and responsibilities of this position.  
  • Education – High school diploma
 
  • Strong data entry skills, proficiency in Excel, and excellent 10 key by touch skills
 
  • 1-2 years of experience in a similar accounting focused environment
 
  • Must possess excellent interpersonal skills and written/oral communication and the ability to speak tactfully and effectively to customers concerning past due accounts
 
  • Must be able to work in a fast-paced environment with multiple accountabilities and priorities

The CSR, cultivates and maintains ongoing customer relationships. Uses computerized system for tracking calls. Gathers necessary information in a timely manner. Initiates and/or implements corrective action as needed in order to ensure that an excellent standard of service and a high level of customer satisfaction are maintained.
